Overview and Responsibilities
The Coordinator of Meetings & Events is responsible for managing the planning and implementation of all meeting activities, including Exhibits & Tradeshows.
Responsibilities include program organization, developing RFPs, budgeting, contracting & negotiations, site selection, housing, meeting specifications (i.e. f&b, logistics, av, space assignments, signage), billing, savings consolidation and HCP spend tracking.
Provide on-site support by overseeing all arranged details of the program (i.e. attend pre-con, advance all functions, verify room set-ups, review banquet checks/master bill, special events, ground transfers, VIP needs, meeting materials).
All meeting data must be entered in meeting technology including savings, final attendee registration and budget reconciliation.
Successful candidate must have a positive attitude and the ability to collaborate effectively with various internal and external vendors/suppliers.
Minimum Basic Qualifications
Four or more years of experience in corporate meetings & events industry
BS/BA degree in Hospitality Management or related field Ability to handle high volume production based work environment
Strong verbal and written communication skills
Must be able to effectively manage deadlines and multiple priorities
Adhere to internal financial and compliance controls for all meetings
Highly detail oriented Proficiency with MS office
Preferred Qualifications and Experience
Professional designation (i.e., CMP ) Pharma experience preferred
Demonstrated organizational and time management skills
Excellent Customer Service skills
Ability to identify customer needs and respond creatively listening to information, asking questions and applying knowledge to determine solutions Initiative and the ability to work independently and as a team member
Possess leadership ability
Demonstrated ability to learn and adapt to changing procedures, methods or processes
High level of professionalism and confidentiality
Passionate about meetings & event planning industry
Experience working with industry related software & technologies (i.e., StarCite or Cvent & ARS systems)
Self Management - The ability to remain focused and be effective during program event setbacks. Must be able to juggle the demands of customers, vendors, and team members while remaining calm. This means knowing how to prioritize both in the office and on-site at event functions despite on-going interruptions. It is critical to be open to feedback in order to improve future performance.
Effective Communication - Demonstrate the ability to communicate clearly, concisely, and effectively to express information in both written and oral context with internal customers, attendees, team members, and vendors.
Customer Focus - Committed to quality service by maintaining professionalism while taking the time to anticipate needs with the goal of understanding organizer's objectives so you can exceed customer and attendee expectations. Also, continually work on building strong relationships with internal customers, fellow team-members and external partners.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
