MIT Lincoln Laboratory (LL) is a Department of Defense Federally Funded Research and Development Center (FFRDC) chartered to develop advanced technology in support of national security.
Research and development activities focus on long-term technology development as well as rapid system prototyping and demonstration.
The Laboratory works with government and industry to transition new concepts, technology and prototypes into future system development and deployment.

Job Summary

MIT Lincoln Laboratory s Human Resources (HR) Department is seeking an Administrative Assistant to provide administrative and logistical support to the Laboratory s organizational, leadership, and professional development programs through effective interface with all levels of Laboratory managers and staff, internal providers and external vendors, and MIT Campus resources.
Primary areas of responsibility include:

  • Organizational, leadership, and professional development programs and course offerings, including publicity and awareness through webpages and other online methods, communicating with program/course participants, reserving training facilities and equipment, setting up and supporting online learning spaces using Zoom and other applications, developing and ordering program/course-related materials, arranging audiovisual and food support orders, escorting and helping instructors to set up, loading presentations and other routine computer/presentation equipment support, and arranging visitor badges and security officer support;
  • SAP learning management system and other records management, including recording enrollments and attendance, managing course registrations and waiting lists, administering cost chargebacks, and reconciling discrepancies and resolving problems;
  • Rewards and recognition programs, including tracking nominations, assembling electronic nomination packets, and recognition-related event planning;
  • Tuition assistance programs, including explaining and verifying eligibility and tracking participants and payments,
  • Other administrative support, including purchasing and budget forecasting and tracking,
  • General administrative support to other HR areas and other duties as assigned.

Requirements

  • High School graduate with a minimum of three years of related experience, with a record of administrative accomplishment, excellent judgment, and dependability
  • Outstanding customer service, communication, and organizational/time management skills, along with the ability to work independently or collaboratively with and through other Laboratory staff/resources, as needed
  • Demonstrated ability to multi-task, prioritize work, and resolve problems effectively, supporting multiple people and projects while ensuring a consistently high level of service, attention to detail, and responsiveness
  • Highly proficient in MS Office (Word, Excel, and PowerPoint) and similar office applications
  • Previous experience regarding access to and management of sensitive information

Preferred

  • College degree or coursework, particular in human resources management, organizational development, or business
  • Experience with SAP or other enterprise learning management systems
  • Experience in event planning or similar support for professional development, conferences, or similar programs and activities (especially training courses, mentoring, rewards and recognition, tuition assistance, etc.
    )
  • Experience with setting up and supporting online learning spaces using Zoom or similar applications
  • Experience with budget planning, forecasting, and tracking
  • Proficiency with Articulate, Captivate, Storyline, or similar e-learning applications to create and maintain web-based training and information pages
  • General or specialized HR or related experience

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
